In the Winter of 2024, I got to contribute to my sorority by serving as Vice President of Administration for a full year. During my time in this role, I refined my skills in Excel, Google Sheets, learned the rules of a new tracking app, and strengthened my ability to lead in an organized and structured way. By organizing all chapter-wide events, I gained a deeper understanding of how to maintain a polished and efficient internal system. When adding events into the chapter calendar, I always made sure to post them out as early as possible so I had enough time to submit excuse notes or request time off work. This became extremely important during Spring recruitment, when we had multiple days of preparation followed by three long days of recruitment events.

With ongoing chapter events that often felt never-ending, it was important to make sure everything was clearly laid out. Each at our sorority meetings, I updated everyone on any calendar changes and reminded them of our excuse-note policy.  If sisters were absent, I sent reminders through our chapter GroupMe or reached out individually to keep everyone informed. Along with managing the calendar, my most important responsibility was tracking attendance at all events. Every sister is allowed to miss a certain number of events, but they must submit an excuse note and receive approval. If they do not, they are fined. This role taught me how to be assertive while still being respectful and understanding when discussing sensitive topics with my peers.

To stay organized, I created two separate Google Sheets to manage attendance and excuses. One sheet listed all 55 sisters, the event that had taken place, and whether each person was present, absent, tardy, or excused. This helped the Vice President of Finance easily identify who needed to be fined. The second sheet also listed all 55 sisters but focused on tracking how many excuse notes each person had used. This helped me monitor patterns, reach out when something seemed off, and ensure fairness across the chapter.

Problem-solving was a key skill that I relied on. For example, one sister needed to miss more events than allowed due to a personal situation. During our monthly advisor meeting, I brought this up, and because she reached out ahead of time and provided documentation, we agreed she would be excused from all of them. Situations like this required clear communication, empathy, and fairness. This role was something I never handled alone. Our Officer Board is made up of multiple positions that keep the chapter running smoothly, and collaboration is essential. I worked closely with the Vice President of Finance to correct any attendance discrepancies, with the Vice President of Chapter Wellness when a sister was missing many events without explanation, with the Vice President of Philanthropy during our philanthropy week when attendance rules become stricter, and with the Vice President of Recruitment during both Spring and Fall recruitment seasons

In conclusion, this role expanded my understanding of internal operations, which I genuinely enjoyed. Organizing data, staying aware of what was happening across the chapter, and finding ways to support the organization was eye-opening. As someone who is naturally organized, this position felt like the perfect fit, and even though it required a lot of time and effort, I truly enjoyed it. It made me feel like I was contributing something meaningful to the organization I care about, and it pushed me to take on responsibilities I never imagined myself handling. This experience strengthened my mindset for future roles. Whether that involves organizing events for a company or managing internal data on a larger scale.
